The board meets monthly on the third Monday of the month at 5:30. Meetings are general 1 hour long. The next meeting scheduled for July 16, at 5:30 in the gallery. Feel free to join us or contact Terry if you have any interest.
Other changes continue as we are trying to involve at least two people in all tasks. Let Rosie or Terry know if you have any extra free time or enjoy certain tasks. It is always a positive to have fresh ideas.
As you inventory supplies or find that we need any items, please note we do have petty cash available if it cannot wait. Rosie will let you know how this works if there is a need. 7-5-18 (SLM) Credit Card Software
Dear Artists/ Volunteers,
We had to update our credit card software program thru Payment Logistics. There have been numerous problems getting it to load and stay loaded.
The solution is to turn off the computer at the end of the day so when it re-boots Artisan automatically starts up and loads the payment logistics software. It takes awhile, so do that first when you come into the gallery.
The best way to shut down the computer is to click on the windows icon, see screen shot below. It is the multi-colored circle on the bottom left.

In case you haven’t heard the great news…. Our Director is in the process of buying a house in the Grayling area and selling his current house in Kingsley. Terry will be a busy guy during the moving transition so Rosie Nettles will be handling the functions of the gallery. But don’t worry, Terry is in communication with Rosie almost daily. Congratulations to Terry and Marjorie!!!!

DIRECTIONS FOR THE SOUND SYSTEM:
There are three main pieces- The sound board, the CD player and the speakers.
TURNING ON THE SYSTEM:
The sound board drawer in under the counter between us and the wine room. Open the drawer slowly as there are many cords attached. Turn it on with the rocker switch located on the back of the board on the right (you have to feel it with your finger).
The speaker switch is by the back gallery door on the right by all the light switches and is marked as such.
The CD player has its own power switch called standby, bottom left. Turn it on by pushing the arrow up button to the right of the CD drawer. Push the arrow up button again, and the CD will load. Push the right arrow button to the right of the bluetooth button and the CD will reset and play. It takes awhile to start working.
The volume for the speakers is the #11/12 control on the bottom row of the sound board.
TURNING OFF THE SYSTEM:
Turn off the speaker switch by the back door first.
Then turn off the CD player.
Then turn off the sound board.
NOTE: We can only play music by musicians that we are directly paid. ie. Al Bondar and Oh Brother, Big Sister. SO, please bring in CD's from musicians that have given you permission:)
The permanent spot for these directions will be under Home/ Procedures.

We have two new motion sensors. One on the front door and one in the hallway between gallery and wine room. There is a volume and on/off switch (on/off switch will be good for concert nights) on the side. We have another ordered for the back entrance hallway.

In-Gallery Registration for Creativity Classes
Registration is done on-line in the Creativity Center section at www.aavart.org
However, volunteers working the Gallery desk may be asked to help with that process. That process is outlined below.
Process for class registration by volunteers in the Gallery
1. go to www.artisanvillage.org
2. click on Creativity Center
3. select Classes
4. select BROWSE ALL CLASSES and find the class that the client wants
5. click the Register box
There will be spots to fill in with email, name, phone, etc. If the student was registered once before there will be less things to fill in. The information is based on the email entered.
6. The last group of boxes has to do with payment.
a. If the customer wants to pay by credit card: manually fill-in all numbers required. Mark paid.
b. If they want to pay by check: make out to Artisan Village, the memo line should say Creativity Center class. And mark check, paid. This amount is not entered into the Artisan Village Cash Register program. Simply put the check in Pauline’s bag.
c. If they want to pay by cash: Mark cash and paid. Paper clip a note “For Creativity Center registration” to the cash paid and put it into Pauline’s bag. This money is not entered in the day’s receipt and is not counted at “end-of-day” processing.
7. The customer will receive an email receipt almost immediately.

Upcoming Events:
We have some new classes scheduled. Spread the word. You can access the registrations thru our website: http://artisanvillage.org
follow the prompts under Creativity Center and classes. All registrations are done thru CourseStorm. FYI: We can do these using the gallery computer if someone comes into the gallery to register. On our computer we can skip a few steps; go to the main screen and click on the CourseStorm icon. Should be at the top of the screen, second row. Follow the prompts in the program. You will need the participants date of birth, email address and any special accommodations. If they are registering with a credit card you will need their credit card information. CourseStorm is a very simple program to use. Please offer the customer a written receipt as their receipt will be generated via email. NOTE: payment does NOT go thru Artisan!!! You put the written receipt in Pauline’s nightly deposit with a note that it is a class registration and which class the customer registered for and a student name. 11/14/17:
Registration is open for the Creativity Center’s Holiday Workshops. Please give each customer the trifold/flyer about these workshops. (These will arrive any day now.) Information about these classes is also available at the AAV website, www.artisanvillage.org. We expect the classes to take place in the stage area of the gallery but will move downstairs as soon as we get the word the space is ready.
The Holiday Workshops take place on the first three Saturdays in December. Most are open to both adults and all school age children. Registration is done on-line in the Creativity Center section of the AAV page. Volunteers working the Gallery desk may be requested to help with that process. Registration fees are $15 or $30. That process is listed below.
In addition to the Saturday Holiday Workshops, there are three HOLIDAY HAPPENINGS DROP-IN EVENTS. Registration is not required or even possible for those events. They are free, although a $3 donation is suggested. These are --Christmas Walk Sat.
Nov 18 (1:00-3:00),
Sunday Dec 10 (2-4:00), and
Saturday Dec 23 (2-4:00).

FALL HOURS EFFECTIVE 10-1-17
The loose ends committee has changed the hours of operation for Sundays to 11-5pm, starting in October. The sign has been changed.

The fire code door to the front sideway and stairway is complete. Please REMEMBER to make sure the door is locked from the outside each evening. (I added this to the closing checklist). Since this is a fire door, the door knob opens from the interior anytime someone leaves the building. But it then leaves the door unlocked. (It works just like the back door actually). If you are outside checking the door and it is unlocked/can be opened, flip the locking lever and shut the door. Retest and the door should be locked.

While moving Loel's display unit a larger, heavier piece fell over onto a bowl and broke it. Lesson learned... lay down larger pieces.

Have you noticed Vicki Mrazik, the new twig artist? Gorgeous work! Welcome.
Have you ever accidentally ended up with an invoice and order waiting even though you gave the customer the piece of art and they paid for it? (This happens when the item isn't in Artisan and we don't hit the merchandise in hand option.) Finally, the solution. Go to Operations Menu, select previously saved sale, click on the order line, there should be a W next to it for waiting, or use Ctrl-up arrow. Then hit ENTER. There will be a message box that pops up and asks if the item has been delivered (and it should state it's fully pd.). Select yes. (There will still be two reference codes attached to the one sale.) Hoping you can help!
Monday evening, June 19, 2017 Camp Grayling will be allowing 200 guards leave to come into town from 7 to 11 pm. Business are being asked to stay open to accommodate these guests.
We need 3 to 4 volunteers to keep the gallery open. We will need at least one experienced cashier and the others to assist with packing and talking with customers. But the more volunteers available, the better!!!

Dear Artists/ Volunteers,
This is an email that was sent out and reposted here.
It is going to be a bit long as there are many exciting changes and we want to be sure you are kept up to date. If you have gotten this email by mistake, please email Sandra to remove your name from the email list ([email protected]).
Construction: Terry, Neil, Mike and other helpful hands are continuing to make improvements. The stage is being given a face-lift to provide for a more enjoyable concert experience. The new heating, cooling system and resulting jewelry department move will occur soon. That will set up the space to begin the Creativity Center. Helping hands are always welcome at the gallery.
Naming the Creativity Center:
When posted on Facebook, the most popular names suggested were: TLD Center for Creative Arts and TLD Creativity Center. We are still considering other ideas.
Wine Room/ Gallery Joint Business Venture:
The gate and shutters between the Wine Room and Gallery open when the Wine Room opens and close when the Gallery closes (with the exception of Fri. and Sat. when we will still open at 11 a.m. However, if you want to open early, that's great:)
Wine Room Hours: M-Th Noon-9 p.m.;
Fri-Sat. 10 a.m. – 11 p.m.; Sun 11 a.m. – 8 p.m.
The gate is an emergency exit in the case of a fire in the front of the wine room. Therefore, even though the gate is locked when the gallery closes the far left shutter is NOT latched. In an emergency Wine Room Staff can climb over the counter to unlock the gate.
The cooperative business venture with Paddle Hard and the Gallery is an amazing opportunity and our attitude needs to be "What can I do to help?" We need to behave with excited enthusiasm. If you have any problems, concerns, thoughts please send an email to Sandra ([email protected]). Do NOT address issues with the Wine Room staff or the owner Dave. The Loose Ends committee will meet on Monday afternoons to discuss all issues, brainstorm solutions and make recommendations to Terry. All decisions will be posted on the Volunteer Website. Anyone is welcome to attend.
Extra Inventory in Basement:
There is now an extra inventory binder with a pink label on the bottom shelf to the right of the computer (where the new artist sign-in book, contracts and training manual are located).
During Working Hours:
When you are working the gallery please be sure you are engaged in gallery business. As we gear up for our busiest selling season we need to remind ourselves of some obvious facts:
* The customer is first; do not stand around talking with other volunteers, artists when a customer arrives
* If there are no customers:
We are asking that you do not use the gallery computer for personal use. There is a real danger of someone getting access to our point of sale software, credit card info., etc.
End of Day Checklists:
There are two closing checklists now. The same end of the day checklist for our sales program (Artisan) and the new one below for closing doors, gates, turning off lights, etc.
They will be taped to the left of the computer station.
5/3/17
All extra/ surplus inventory is being moved to the basement. Sue McInally made a list, per artist, of the inventory and put it in a binder. Inventory is all in one spot in the basement- on the table, gray shelf or under the table. With TWO exceptions. Sue believes there is some work, painting on saws and Terry’s art uncorked canvas paintings (I plan to move both, next time I am in the gallery and list them with the inventory).
We are hoping this will help the volunteers working find art work so we can get it back to the owner and/or know if we have more inventory available. There is a section in the book with art for folks that are no longer gallery members, I contacted Tom Dean and he wants to donated to the next charity (we need to let him know which one) and there was a stack Rose said we could use for raffles/drawings during concerts or other events.
Sandra will continue working on contacting the other artists to pick their work up.
We also moved work to under the counter ( I marked with a sign) layaway work and holds. That way volunteers don’t have to hunt for these when they are working.
Please mark in the book when art is taken by the artist. (Sandra and Sue M.)
4/18/17 Things are Changing!!!
The gallery is changing daily. Electrical lighting on the main floor and preparations for the new HVAC system are nearly complete. The new HVAC system should be installed within the next few weeks depending on the contractors schedule. Drawings and plans for the basement are underway making sure we in compliance with building codes and ADA requirements.
Starting the second week of May we will need all available hands to help with the demolition of the old stairs and back entrance, removing the old duct work in the basement. Thats when we will see huge progress. Work groups will be Monday through Friday and no matter what your skills; we could use your help!!! There is always work to do, even if it is making sure the artwork is dusted, so make sure you schedule time to come help. Besides, this will give you an opportunity to see our progress, bring in new artwork and meet your fellow artists!!!
Again, work groups will be Monday through Friday at the gallery. Please let Terry, Sandra and/or myself know if you plan to be in the gallery so we can get the maximum use of your time and effort. (Terry, [email protected]; Sandra,[email protected]; Sue, [email protected])

3/19/17 WINE ROOM OPENS THIS WEEK! Yippee!
From Terry: The wine room will re-open later this week and some things are changing.
Talk to ME! if you have an issue with ANYTHING regarding the wine room, Dave, Dave's employees or Dave's customers CALL ME (989-619-5561) AND DO NOT TALK TO ANY OF THE ABOVE about any issues. If you fail to reach me, put a message on my icon on the desktop.
However, if you see a customer bringing their drink past the separation gates please kindly remind them, "I am sorry, but this half of the gallery is not licensed for alcohol. Please set your drink on the table and pick it up when you return to that side." or something like that. Don't argue with the customer, be kind, and if there are any problems CALL ME do not engage Dave or Dave's employees.
This is a work in progress. There will be glitches. If I am aware of the problems I can work out a solution with Dave and he does not feel harassed by our volunteers.
Another change:
USE THE BACK DOOR: do NOT park on Michigan Avenue. Keep those spaces free for paying customers. Park in the back and use the back door. The key code is the same as the front. However, This week I will be changing the front door key code so you cannot use it. We are getting complaints from other businesses on Michigan Ave about parking spaces being occupied all day by employees.

3/16/17 Construction and Classes
Construction on the new Creativity Center is progressing. However, we had to solve a fire safety issue. The sprinkler system was too expensive, so we're going with a fire suppression system with special materials. We also have to build a closed stairway up through the jewelry section exiting directly outside.
Kathy Ellison and Tina Foster are doing an AMAZING job planning for children's classes this summer. (slm)

I'm starting a line of jewelry that things sawn out of coins. There is a misconception that it's illegal to alter USA money. That's wrong. What IS illegal is altering USA money to commit fraud (like adding an extra zero to a $10 bill!) So please let customers know if they are looking at my coin pieces. The Patronicity crowd funding campaign ends today. We are over $25,000, so we will qualify to receive matching funds of $25,000 from the MEDC and MSHDA. Thanks to EVERYONE who donated and participated in getting donations.

1/23/17 ARTISAN upgrades/ Glitch
The new license key was added to our point of sale software system, Artisan. The newest version was also downloaded. If you find any glitches, new messages that pop up please let Sandra know. [email protected]
Twice in the past week an item that was sold ended up in an "on order" screen and we are not sure how to undo this mistake. The tech for Artisan said it would result from someone inadvertently using an F8 key or some other command short cut. 12/14/16 Patronicity/ Construction
We have officially been accepted for our Patronicity Fund Raising plan through the Michigan Economic Development Corporation (MEDC). Whatever we raise is matched by MEDC. The fund raising brochure/pamphlet is finished (thank you Dave and Cindy Vargo, Joe and Kathy Ellison!!!). Terry has spent countless hours on this endeavor. Please be sure you read this pamphlet and are able to explain our ideas/plan to customers. EVERY customer should be asked if they have heard our exciting news:) The video crew is coming Thursday. We are working to build a permanent wall so that we meet requirements for the liquor license that Dave is getting for the wine room and the right half of the gallery. This will allow us to have food and drink during concerts. Such exciting times! (slm)

First, I am very sorry for not updating this website.
We are beginning a crowd funding drive to upgrade our basement space into a dynamite community art center! We are working with the Michigan Economic Development Corporation (MEDC). Whatever we raise thru the Patronicity website (which will not be up and running until mid-Dec.), MEDC matches.
SO....
Please be sure to ask every customer if they are a member. If they become a member, not only do they still get 5% off and their name on our honor wall if they give at or above $120 (see membership envelope for all the different levels). Then, please explain our new option! The MEDC will MATCH their money (when we meet our goal.) If they donate $20, we will get $40!!!

7/10/16 Air conditioning
If you are one of the volunteers who has access to the air conditioning settings, NEVER set it lower than 75. Apparently that causes the roof top unit to freeze up and the air conditioner shuts down. (nkc)
7/10/16 Door between AAV & the winery
There's now a lock on the rolling door between us and the winery. The door should be down when you come in. The winery will unlock and open it when they arrive. If it's still open when you leave ask the winery staff to close and lock it. (nkc)
7/5/16 Jean Schwalm Personal Boxes
Jean Schwalm (of the lovely hand painted Pysanky eggs fame!) brings in her own small square folded gift boxes for her sold pieces. Apparently volunteers have been using them for other sales and she didn't have enough for recent purchases. They are in a plain cardboard box kept on the shelves with the other wrapping supplies. She put a bigger sign on the box. Please don't use them for anything but her art. Thanks! (nkc)

4/16/16 New Security Cameras are Working - Smile!
Our new motion-detected security cameras have been installed and are working. We are now able to see what is happening from 4 cameras inside the gallery. Anyone moving around in the gallery is recorded. That video is recorded and saved for a period of time. If you suspect something has gone amiss you can contact Terry Dickinson, Nancy Cornett, or Rose Nettles to review previous recordings. A few AAV members have off-site access to the cameras and can periodically help to monitor the gallery, even when we're closed! While you are working there will be a link on the computer that you can click to see the cameras. That link will be set up shortly. (nkc)

The new card reader is working. When you finalize sale, just select the card type and swipe. Let Sandra know if there are problems. ([email protected]) To do a card by hand... instead of swiping enter card number, press enter; enter expiration date, 3 digit code on back, address (numbers ONLY), zip code... each time press the green enter button afterwards.
1.9.16 NEW INVENTORY

1.7.16 GIFT CERTIFICATES NO LONGER VALID
On Dec. 22, 2015, a customer purchased five gift certificates for $35 each. Unfortunately, the check bounced and we couldn't contact the customer nor did a re-deposit work. Therefore, we decided to make the certificates invalid. When the person who received the gift certificate comes in, they will use the name Pat or Virgil Koronka as the giver. Since the numbers 61-65 were deleted, they will not come up in Artisan. Explain to the customer that for some reason, the funds to make their certificates valid never came thru. We have been unable to let Pat and Virgil know. If the funds are received, we will re-issue certificates to Pat and Virgil. Please take the certificate from the customer and write invalid on it. Put it in Terry's box. (slm)
12.22.15 CREDIT CARD READER DOWN
The credit card reader just went down again. The person who usually deals with it is out of town. For now we just need to enter the information into Artisan manually. When you get to the part of the sale where you usually swipe the card, click on the credit card type instead (for example, Master Card). A new screen will pop up with spots for all the information you'll need to enter: name, card number, address, etc. After that is completed the sale will continue as it would have before the card reader went down. We'll put an update here when we know more about when it will be repaired. (nkc)
12.7.15 MORE ARTISAN ISSUES
We have had quite a few little, but annoying errors. I updated our Reconciliation Sheet and the End of the Day Checklist. Everything is important, but this is REALLY important. At the end of the day, please be sure to tally the totals for cash, checks and credit cards. (There is a helpful spreadsheet, place to add things up on the desktop.) When you do the end of the day checklist and you get to the Artisan section for tender details, your totals on the reconciliation page should page the tender details page. If not, this is the time to figure out the mistakes by double checking all the receipts (each one has a slip number for each double checking). If any of this is confusing PLEASE ask for help. Sandra, Rose, Terry, Nancy Cornett are usually around or easily contacted. (slm)
12.3.15 ARTISAN ISSUES/ MISTAKES
Terry noted that there were some mistakes using our point of sale software system. For instance an item for $10 sold for $3.50 due to a 65% discount (maybe we were trying to enter 5% for a member discount and hit the 6 with the 5? Another item for $175 was sold for $160. No idea on that one:) I called Certek, the techs for Artisan, and they said if there was a software problem they would have had other complaints. They've never had the software randomly create different pricing from the item record or add a random discount. I double checked our item records, they were fine. SO... in conclusion I think we've been making some little errors.
PLEASE do an estimate of the total bill. Double check the pricing and your cash screen to see they match.

11-30-15 REGISTERING FOR UNCORKED CLASSES AT THE GALLERY USING PAYPAL
It makes everything much simpler if people sign up for classes via our website and PayPal. They don't need a PayPal account, just a credit or debit card. If someone comes in and is uncomfortable with the computer but has a card we'd really appreciate it if you help them walk through the registration on our computer. Just open the Internet, go to our webpage and the EVENT/CLASSES tab - or just click here (http://www.aavart.org/events/) then click on the class they want. Click on the BUY PayPal button to purchase the registrations and follow the prompts to enter the customer's information. If you are uncomfortable with this process feel free to ask Sandra M., Terry, or Nancy for a demo. If they do not want to use the computer or do not have a card, see the next item in this list. (nkc)
11-30-15 REGISTERING FOR UNCORKED CLASSES AT THE GALLERY, PAYING THROUGH ARTISAN
If someone will not/cannot register via PayPal (see item above) then we will accept payment via Artisan just like we do for any other item we sell. But the teachers need more information than Artisan collects so you'll also have to make sure they also sign the Class Registration Sheet. It's in a looseleaf binder with a lovely quilted cover (by Ruth Hankins) located on the shelf next to the printer. Find the class page. It will also list the item code to enter in the computer/Artisan. Then have the customer enter name, email, phone, and date FOR ALL THE PEOPLE THEY ARE REGISTERING (some folks pay for more than 1) on the paper form. If they are missing some info for friends they can just add what they have and agree to pass along information we might send.

11/22/2015 SANDRA'S TREES
I was trying new inventory codes and they didn't go over very well. I apologize for the confusion. I redid everything; back to SLM-0001, SLM-0002 etc. The super baby trees are first, then babies, then small, medium, large. There is a code for jumbo trees where the price is negotiated (custom made 6ft. +).
I have rough cut trees (minimal sanding, no protective coating) and individual hand sanded logs with a protective coating (polyurethane or lacquer). I have trees with no coating all over my property. They last 5-6 years before a few limbs need to be replaced. I will replace limbs as needed for the customer; cost depends on the size. I will re-do my flyer (bio and pics) to indicate this information. On the back of the price label I am also indicating if it is rough or finished (sanded w/ coating).
Thanks for all the support in selling the trees and sorry again for any confusion I caused.
I would appreciate it if you could be sure the customer gets one of my business cards in case they have questions or need a new limb. Flyers and cards are on the pallet in the back of the gallery.

I have replaced the bulbs in the outdoor overhang to LED bulbs. So please start a new routine regarding light switches. In the morning when you turn on the lights for the gallery, turn OFF the outside lights (single switch closest to the door). At the end of the day when you turn off the gallery lights, turn ON the outside lights and leave them on overnight. (tld)

We strongly prefer students register through our web page www.aavart.org. If the customer is not able to use PayPal we will allow them to purchase like any other item and pay directly to the gallery. Pretend you are selling a piece of artwork.... (except you MUST take their name, phone #, and an email address because we need to contact students.) Where you usually type an item #, type in C- (include the dash) then hit the enter key. You will see the list of classes. You may need to scroll down. The initials are the instructor and the number is the date of class. For example: C-NC-110715 is the Class taught by Nancy Cornett on 11-07-15. 10/30/15 NEVER LEAVE A SALE ITEM ON HOLD
NEVER leave a transaction on "HOLD" there are a couple of things that trigger this
a. Cash Sales -- When you click on "Payment Type" you must click on "Cash" even though it is highlighted in red.
b. Checks -- you must fill in every field including check #, Drivers License #, State in which the Drivers license is issued, and phone #. If any of these fields are left blank it will go to HOLD. (tld)
10/30/15 HOW TO TURN ON THE COMPUTER
Do not shut down the computer at the end of the day. But if someone forgot and the computer is shut down when you come in, look under the keyboard to your right. There is a silver button ... PUSH it! That turns on the hard drive (which is what really runs the computer) Everything should load and look normal from there. (slm)
10/30/15 DEBIT CARD READER TEMPORARILY DOWN
Please be aware that the Debit Card Pin is not working so Debits must be run as credit. Artisan, our point of sales software company, updated our program. However, Payment Logistics, the tech company who actually sells the hardware (the debit/ credit card swiper) is running tests to be sure the hardware will work flawlessly with our Artisan software. We were told it would be done at the beginning of October. Every week Sandra calls and they push the date back. Better to wait than have problems running debit and credit cards:) (SLM)

Dear Artists/ Volunteers,
We had to update our credit card software program thru Payment Logistics. There have been numerous problems getting it to load and stay loaded.
The solution is to turn off the computer at the end of the day so when it re-boots Artisan automatically starts up and loads the payment logistics software. It takes awhile, so do that first when you come into the gallery.
The best way to shut down the computer is to click on the windows icon, see screen shot below. It is the multi-colored circle on the bottom left.

DIRECTIONS FOR THE SOUND SYSTEM:
There are three main pieces- The sound board, the CD player and the speakers.
TURNING ON THE SYSTEM:
The sound board drawer in under the counter between us and the wine room. Open the drawer slowly as there are many cords attached. Turn it on with the rocker switch located on the back of the board on the right (you have to feel it with your finger).
The speaker switch is by the back gallery door on the right by all the light switches and is marked as such.
The CD player has its own power switch called standby, bottom left. Turn it on by pushing the arrow up button to the right of the CD drawer. Push the arrow up button again, and the CD will load. Push the right arrow button to the right of the bluetooth button and the CD will reset and play. It takes awhile to start working.
The volume for the speakers is the #11/12 control on the bottom row of the sound board.
TURNING OFF THE SYSTEM:
Turn off the speaker switch by the back door first.
Then turn off the CD player.
Then turn off the sound board.
NOTE: We can only play music by musicians that we are directly paid. ie. Al Bondar and Oh Brother, Big Sister. SO, please bring in CD's from musicians that have given you permission:)
The permanent spot for these directions will be under Home/ Procedures.

In-Gallery Registration for Creativity Classes
Registration is done on-line in the Creativity Center section at www.aavart.org
However, volunteers working the Gallery desk may be asked to help with that process. That process is outlined below.
Process for class registration by volunteers in the Gallery
1. go to www.artisanvillage.org
2. click on Creativity Center
3. select Classes
4. select BROWSE ALL CLASSES and find the class that the client wants
5. click the Register box
There will be spots to fill in with email, name, phone, etc. If the student was registered once before there will be less things to fill in. The information is based on the email entered.
6. The last group of boxes has to do with payment.
a. If the customer wants to pay by credit card: manually fill-in all numbers required. Mark paid.
b. If they want to pay by check: make out to Artisan Village, the memo line should say Creativity Center class. And mark check, paid. This amount is not entered into the Artisan Village Cash Register program. Simply put the check in Pauline’s bag.
c. If they want to pay by cash: Mark cash and paid. Paper clip a note “For Creativity Center registration” to the cash paid and put it into Pauline’s bag. This money is not entered in the day’s receipt and is not counted at “end-of-day” processing.
7. The customer will receive an email receipt almost immediately.

Upcoming Events:

follow the prompts under Creativity Center and classes. All registrations are done thru CourseStorm. FYI: We can do these using the gallery computer if someone comes into the gallery to register. On our computer we can skip a few steps; go to the main screen and click on the CourseStorm icon. Should be at the top of the screen, second row. Follow the prompts in the program. You will need the participants date of birth, email address and any special accommodations. If they are registering with a credit card you will need their credit card information. CourseStorm is a very simple program to use. Please offer the customer a written receipt as their receipt will be generated via email. NOTE: payment does NOT go thru Artisan!!! You put the written receipt in Pauline’s nightly deposit with a note that it is a class registration and which class the customer registered for and a student name. There are still a handful of artists who do not have a biography done. While things are slower, lets get them done. We get asked daily by customers for these and it is very embarrassing to tell them we do not have one for you. * DO NOT turn the thermostat down below 70 degrees. This controls our area and the wine room :-) . So remember even if you are

1/4/17: I noticed a sign in the bathrooms... keep the water dripping. Please make sure when you leave at night the COLD water is flowing at a slow rate. I assume given the COLD temps we should continue to do so until temps warm up to double digits. Sandra
11/14/17:
Registration is open for the Creativity Center’s Holiday Workshops. Please give each customer the trifold/flyer about these workshops. (These will arrive any day now.) Information about these classes is also available at the AAV website, www.artisanvillage.org. We expect the classes to take place in the stage area of the gallery but will move downstairs as soon as we get the word the space is ready.
The Holiday Workshops take place on the first three Saturdays in December. Most are open to both adults and all school age children. Registration is done on-line in the Creativity Center section of the AAV page. Volunteers working the Gallery desk may be requested to help with that process. Registration fees are $15 or $30. That process is listed below.
In addition to the Saturday Holiday Workshops, there are three HOLIDAY HAPPENINGS DROP-IN EVENTS. Registration is not required or even possible for those events. They are free, although a $3 donation is suggested. These are --Christmas Walk Sat.
Nov 18 (1:00-3:00),
Sunday Dec 10 (2-4:00), and
Saturday Dec 23 (2-4:00).

Process for class registration by volunteers in the Gallery
1. go to www.artisanvillage.org
2. click on Creativity Center
3. select Classes
4. select BROWSE ALL CLASSES and find the class that the client wants
5. click the Register box
There will be spots to fill in with email, name, phone, etc. If the student was registered once before there will be less things to fill in. The information is based on the email entered.
6. The last bunch of boxes has to do with payment.
a. If the customer wants to pay by credit card: manually fill-in all numbers required. Mark paid.
b. If they want to pay by check: made out to Artisan Village, the memo line should say Creativity Center class. And mark check, paid. This amount is not entered into the Artisan Village Cash Register program. Simply put the check in Pauline’s bag.
c. If they want to pay by cash: Mark cash and paid. Put a note on the money for Creativity Center and it goes into Pauline’s bag. This money is not entered in the day’s receipt and is not counted at “end-of-day” processing.
7. The customer will receive an email receipt almost immediately.

With all of the above changes, we have also had a lot of responsibility changes I have failed to convey causing confusion as to who does what, etc. So I have created the list below. FALL HOURS EFFECTIVE 10-1-17
The loose ends committee has changed the hours of operation for Sundays to 11-5pm, starting in October. The sign has been changed.

The fire code door to the front sideway and stairway is complete. Please REMEMBER to make sure the door is locked from the outside each evening. (I added this to the closing checklist). Since this is a fire door, the door knob opens from the interior anytime someone leaves the building. But it then leaves the door unlocked. (It works just like the back door actually). If you are outside checking the door and it is unlocked/can be opened, flip the locking lever and shut the door. Retest and the door should be locked.
10/22/17 BEWARE moving the display units
While moving Loel's display unit a larger, heavier piece fell over onto a bowl and broke it. Lesson learned... lay down larger pieces.

Have you noticed Vicki Mrazik, the new twig artist? Gorgeous work! Welcome.
Have you ever accidentally ended up with an invoice and order waiting even though you gave the customer the piece of art and they paid for it? (This happens when the item isn't in Artisan and we don't hit the merchandise in hand option.) Finally, the solution. Go to Operations Menu, select previously saved sale, click on the order line, there should be a W next to it for waiting, or use Ctrl-up arrow. Then hit ENTER. There will be a message box that pops up and asks if the item has been delivered (and it should state it's fully pd.). Select yes. (There will still be two reference codes attached to the one sale.) Hoping you can help!
Monday evening, June 19, 2017 Camp Grayling will be allowing 200 guards leave to come into town from 7 to 11 pm. Business are being asked to stay open to accommodate these guests.
We need 3 to 4 volunteers to keep the gallery open. We will need at least one experienced cashier and the others to assist with packing and talking with customers. But the more volunteers available, the better!!!

Dear Artists/ Volunteers,
This is an email that was sent out and reposted here.
It is going to be a bit long as there are many exciting changes and we want to be sure you are kept up to date. If you have gotten this email by mistake, please email Sandra to remove your name from the email list ([email protected]).
Construction: Terry, Neil, Mike and other helpful hands are continuing to make improvements. The stage is being given a face-lift to provide for a more enjoyable concert experience. The new heating, cooling system and resulting jewelry department move will occur soon. That will set up the space to begin the Creativity Center. Helping hands are always welcome at the gallery.
Naming the Creativity Center:
When posted on Facebook, the most popular names suggested were: TLD Center for Creative Arts and TLD Creativity Center. We are still considering other ideas.
Wine Room/ Gallery Joint Business Venture:
The gate and shutters between the Wine Room and Gallery open when the Wine Room opens and close when the Gallery closes (with the exception of Fri. and Sat. when we will still open at 11 a.m. However, if you want to open early, that's great:)
Wine Room Hours: M-Th Noon-9 p.m.;
Fri-Sat. 10 a.m. – 11 p.m.; Sun 11 a.m. – 8 p.m.
The gate is an emergency exit in the case of a fire in the front of the wine room. Therefore, even though the gate is locked when the gallery closes the far left shutter is NOT latched. In an emergency Wine Room Staff can climb over the counter to unlock the gate.
The cooperative business venture with Paddle Hard and the Gallery is an amazing opportunity and our attitude needs to be "What can I do to help?" We need to behave with excited enthusiasm. If you have any problems, concerns, thoughts please send an email to Sandra ([email protected]). Do NOT address issues with the Wine Room staff or the owner Dave. The Loose Ends committee will meet on Monday afternoons to discuss all issues, brainstorm solutions and make recommendations to Terry. All decisions will be posted on the Volunteer Website. Anyone is welcome to attend.
Extra Inventory in Basement:
There is now an extra inventory binder with a pink label on the bottom shelf to the right of the computer (where the new artist sign-in book, contracts and training manual are located).
During Working Hours:
When you are working the gallery please be sure you are engaged in gallery business. As we gear up for our busiest selling season we need to remind ourselves of some obvious facts:
* The customer is first; do not stand around talking with other volunteers, artists when a customer arrives
* If there are no customers:
- Check the bathrooms for toilet paper, paper towels, cleanliness; sweep the floor; dust the art on the walls; dust the art on rolling displays
2. Look on the walls to see if art needs to be straightened. Are there tags missing or need redoing?
3. Double check your inventory, have you changed out your pieces recently? What can you do to increase sales
We are asking that you do not use the gallery computer for personal use. There is a real danger of someone getting access to our point of sale software, credit card info., etc.
End of Day Checklists:
There are two closing checklists now. The same end of the day checklist for our sales program (Artisan) and the new one below for closing doors, gates, turning off lights, etc.
They will be taped to the left of the computer station.
5/3/17
All extra/ surplus inventory is being moved to the basement. Sue McInally made a list, per artist, of the inventory and put it in a binder. Inventory is all in one spot in the basement- on the table, gray shelf or under the table. With TWO exceptions. Sue believes there is some work, painting on saws and Terry’s art uncorked canvas paintings (I plan to move both, next time I am in the gallery and list them with the inventory).
We are hoping this will help the volunteers working find art work so we can get it back to the owner and/or know if we have more inventory available. There is a section in the book with art for folks that are no longer gallery members, I contacted Tom Dean and he wants to donated to the next charity (we need to let him know which one) and there was a stack Rose said we could use for raffles/drawings during concerts or other events.
Sandra will continue working on contacting the other artists to pick their work up.
We also moved work to under the counter ( I marked with a sign) layaway work and holds. That way volunteers don’t have to hunt for these when they are working.
Please mark in the book when art is taken by the artist. (Sandra and Sue M.)
4/18/17 Things are Changing!!!
The gallery is changing daily. Electrical lighting on the main floor and preparations for the new HVAC system are nearly complete. The new HVAC system should be installed within the next few weeks depending on the contractors schedule. Drawings and plans for the basement are underway making sure we in compliance with building codes and ADA requirements.
Starting the second week of May we will need all available hands to help with the demolition of the old stairs and back entrance, removing the old duct work in the basement. Thats when we will see huge progress. Work groups will be Monday through Friday and no matter what your skills; we could use your help!!! There is always work to do, even if it is making sure the artwork is dusted, so make sure you schedule time to come help. Besides, this will give you an opportunity to see our progress, bring in new artwork and meet your fellow artists!!!
Again, work groups will be Monday through Friday at the gallery. Please let Terry, Sandra and/or myself know if you plan to be in the gallery so we can get the maximum use of your time and effort. (Terry, [email protected]; Sandra,[email protected]; Sue, [email protected])

3/19/17 WINE ROOM OPENS THIS WEEK! Yippee!
From Terry: The wine room will re-open later this week and some things are changing.
Talk to ME! if you have an issue with ANYTHING regarding the wine room, Dave, Dave's employees or Dave's customers CALL ME (989-619-5561) AND DO NOT TALK TO ANY OF THE ABOVE about any issues. If you fail to reach me, put a message on my icon on the desktop.
However, if you see a customer bringing their drink past the separation gates please kindly remind them, "I am sorry, but this half of the gallery is not licensed for alcohol. Please set your drink on the table and pick it up when you return to that side." or something like that. Don't argue with the customer, be kind, and if there are any problems CALL ME do not engage Dave or Dave's employees.
This is a work in progress. There will be glitches. If I am aware of the problems I can work out a solution with Dave and he does not feel harassed by our volunteers.
Another change:
USE THE BACK DOOR: do NOT park on Michigan Avenue. Keep those spaces free for paying customers. Park in the back and use the back door. The key code is the same as the front. However, This week I will be changing the front door key code so you cannot use it. We are getting complaints from other businesses on Michigan Ave about parking spaces being occupied all day by employees.

3/16/17 Construction and Classes
Construction on the new Creativity Center is progressing. However, we had to solve a fire safety issue. The sprinkler system was too expensive, so we're going with a fire suppression system with special materials. We also have to build a closed stairway up through the jewelry section exiting directly outside.
Kathy Ellison and Tina Foster are doing an AMAZING job planning for children's classes this summer. (slm)

I'm starting a line of jewelry that things sawn out of coins. There is a misconception that it's illegal to alter USA money. That's wrong. What IS illegal is altering USA money to commit fraud (like adding an extra zero to a $10 bill!) So please let customers know if they are looking at my coin pieces. 2/8/2017 Now that we have a budget for construction we will need workers. Terry, Rose and Neal (Rose's husband) are doing the skilled labor right now. When they need painters, movers, shakers I'll post what needs to be done here.
1/31/17 We made it!
The Patronicity crowd funding campaign ends today. We are over $25,000, so we will qualify to receive matching funds of $25,000 from the MEDC and MSHDA. Thanks to EVERYONE who donated and participated in getting donations.
1/23/17 Sandra's new suet feeders.
In the garden area there are five (one sold so now there are four) new suet bird feeders. Each has an explanatory note and price on them.

1/23/17 ARTISAN upgrades/ Glitch
The new license key was added to our point of sale software system, Artisan. The newest version was also downloaded. If you find any glitches, new messages that pop up please let Sandra know. [email protected]
Twice in the past week an item that was sold ended up in an "on order" screen and we are not sure how to undo this mistake. The tech for Artisan said it would result from someone inadvertently using an F8 key or some other command short cut. Please do not use short cut keys unless you are sure you know what you're doing:) slm
1/9/17 Happy New Year! Patronicity and Important Docs on Gallery Computer
We have almost hit $14,000. Please continue to inform everyone you meet about this important fund raising effort. See below for details.
On the gallery computer, there is a folder titled "Important AAV Docs". The desktop was getting kinda messy, so I put all of the docs that were there in this folder. The Volunteer calendar, Artist Labels, Vendor list are all in there. I also put a copy of the article written by Kurt Kolka for the Gaylord paper in this folder in case you didn't see it. slm

12/14/16 Patronicity/ Construction
We have officially been accepted for our Patronicity Fund Raising plan through the Michigan Economic Development Corporation (MEDC). Whatever we raise is matched by MEDC. The fund raising brochure/pamphlet is finished (thank you Dave and Cindy Vargo, Joe and Kathy Ellison!!!). Terry has spent countless hours on this endeavor. Please be sure you read this pamphlet and are able to explain our ideas/plan to customers. EVERY customer should be asked if they have heard our exciting news:) The video crew is coming Thursday. It will take a few weeks, then we go live online through the Patronicity website. More to come soon. (slm)
We are working to build a permanent wall so that we meet requirements for the liquor license that Dave is getting for the wine room and the right half of the gallery. This will allow us to have food and drink during concerts. Such exciting times! (slm)

We are beginning a crowd funding drive to upgrade our basement space into a dynamite community art center! We are working with the Michigan Economic Development Corporation (MEDC). Whatever we raise thru the Patronicity website (which will not be up and running until mid-Dec.), MEDC matches.
SO....
Please be sure to ask every customer if they are a member. If they become a member, not only do they still get 5% off and their name on our honor wall if they give at or above $120 (see membership envelope for all the different levels). Then, please explain our new option! The MEDC will MATCH their money (when we meet our goal.) If they donate $20, we will get $40!!!
If they are interested, please have them fill out the pledge form (they can also fill out the membership envelope if they would like).

7/10/16 Air conditioning
If you are one of the volunteers who has access to the air conditioning settings, NEVER set it lower than 75. Apparently that causes the roof top unit to freeze up and the air conditioner shuts down. (nkc)
7/10/16 Door between AAV & the winery
There's now a lock on the rolling door between us and the winery. The door should be down when you come in. The winery will unlock and open it when they arrive. If it's still open when you leave ask the winery staff to close and lock it. (nkc)
7/5/16 Jean Schwalm Personal Boxes
Jean Schwalm (of the lovely hand painted Pysanky eggs fame!) brings in her own small square folded gift boxes for her sold pieces. Apparently volunteers have been using them for other sales and she didn't have enough for recent purchases. They are in a plain cardboard box kept on the shelves with the other wrapping supplies. She put a bigger sign on the box. Please don't use them for anything but her art. Thanks! (nkc)

4/16/16 New Security Cameras are Working - Smile!
Our new motion-detected security cameras have been installed and are working. We are now able to see what is happening from 4 cameras inside the gallery. Anyone moving around in the gallery is recorded. That video is recorded and saved for a period of time. If you suspect something has gone amiss you can contact Terry Dickinson, Nancy Cornett, or Rose Nettles to review previous recordings. A few AAV members have off-site access to the cameras and can periodically help to monitor the gallery, even when we're closed! While you are working there will be a link on the computer that you can click to see the cameras. That link will be set up shortly. (nkc)

The new card reader is working. When you finalize sale, just select the card type and swipe. Let Sandra know if there are problems. ([email protected]) To do a card by hand... instead of swiping enter card number, press enter; enter expiration date, 3 digit code on back, address (numbers ONLY), zip code... each time press the green enter button afterwards.

1.7.16 GIFT CERTIFICATES NO LONGER VALID
On Dec. 22, 2015, a customer purchased five gift certificates for $35 each. Unfortunately, the check bounced and we couldn't contact the customer nor did a re-deposit work. Therefore, we decided to make the certificates invalid. When the person who received the gift certificate comes in, they will use the name Pat or Virgil Koronka as the giver. Since the numbers 61-65 were deleted, they will not come up in Artisan. Explain to the customer that for some reason, the funds to make their certificates valid never came thru. We have been unable to let Pat and Virgil know. If the funds are received, we will re-issue certificates to Pat and Virgil. Please take the certificate from the customer and write invalid on it. Put it in Terry's box. (slm)
12.22.15 CREDIT CARD READER DOWN
The credit card reader just went down again. The person who usually deals with it is out of town. For now we just need to enter the information into Artisan manually. When you get to the part of the sale where you usually swipe the card, click on the credit card type instead (for example, Master Card). A new screen will pop up with spots for all the information you'll need to enter: name, card number, address, etc. After that is completed the sale will continue as it would have before the card reader went down. We'll put an update here when we know more about when it will be repaired. (nkc)
12.7.15 MORE ARTISAN ISSUES
We have had quite a few little, but annoying errors. I updated our Reconciliation Sheet and the End of the Day Checklist. Everything is important, but this is REALLY important. At the end of the day, please be sure to tally the totals for cash, checks and credit cards. (There is a helpful spreadsheet, place to add things up on the desktop.) When you do the end of the day checklist and you get to the Artisan section for tender details, your totals on the reconciliation page should page the tender details page. If not, this is the time to figure out the mistakes by double checking all the receipts (each one has a slip number for each double checking). If any of this is confusing PLEASE ask for help. 12.3.15 ARTISAN ISSUES/ MISTAKES
Terry noted that there were some mistakes using our point of sale software system. For instance an item for $10 sold for $3.50 due to a 65% discount (maybe we were trying to enter 5% for a member discount and hit the 6 with the 5? Another item for $175 was sold for $160. No idea on that one:) I called Certek, the techs for Artisan, and they said if there was a software problem they would have had other complaints. They've never had the software randomly create different pricing from the item record or add a random discount. I double checked our item records, they were fine. SO... in conclusion I think we've been making some little errors.
PLEASE do an estimate of the total bill. Double check the pricing and your cash screen to see they match.

11-30-15 REGISTERING FOR UNCORKED CLASSES AT THE GALLERY USING PAYPAL
It makes everything much simpler if people sign up for classes via our website and PayPal. They don't need a PayPal account, just a credit or debit card. If someone comes in and is uncomfortable with the computer but has a card we'd really appreciate it if you help them walk through the registration on our computer. Just open the Internet, go to our webpage and the EVENT/CLASSES tab - or just click here (http://www.aavart.org/events/) then click on the class they want. Click on the BUY PayPal button to purchase the registrations and follow the prompts to enter the customer's information. If you are uncomfortable with this process feel free to ask Sandra M., Terry, or Nancy for a demo. If they do not want to use the computer or do not have a card, see the next item in this list. (nkc)
11-30-15 REGISTERING FOR UNCORKED CLASSES AT THE GALLERY, PAYING THROUGH ARTISAN
If someone will not/cannot register via PayPal (see item above) then we will accept payment via Artisan just like we do for any other item we sell. But the teachers need more information than Artisan collects so you'll also have to make sure they also sign the Class Registration Sheet. It's in a looseleaf binder with a lovely quilted cover (by Ruth Hankins) located on the shelf next to the printer. Find the class page. It will also list the item code to enter in the computer/Artisan. Then have the customer enter name, email, phone, and date FOR ALL THE PEOPLE THEY ARE REGISTERING (some folks pay for more than 1) on the paper form. If they are missing some info for friends they can just add what they have and agree to pass along information we might send.

We found the front door to the gallery open on Sunday a.m. Please pull both doors to be sure they are locked. Just get in the habit of doing this every time you leave please. (SLM, 11.29)

11/22/2015 SANDRA'S TREES
I was trying new inventory codes and they didn't go over very well. I apologize for the confusion. I redid everything; back to SLM-0001, SLM-0002 etc. The super baby trees are first, then babies, then small, medium, large. There is a code for jumbo trees where the price is negotiated (custom made 6ft. +).
I have rough cut trees (minimal sanding, no protective coating) and individual hand sanded logs with a protective coating (polyurethane or lacquer). I have trees with no coating all over my property. They last 5-6 years before a few limbs need to be replaced. I will replace limbs as needed for the customer; cost depends on the size. I will re-do my flyer (bio and pics) to indicate this information. On the back of the price label I am also indicating if it is rough or finished (sanded w/ coating).
Thanks for all the support in selling the trees and sorry again for any confusion I caused.
I would appreciate it if you could be sure the customer gets one of my business cards in case they have questions or need a new limb. Flyers and cards are on the pallet in the back of the gallery.

11/10/15 ARTIST CHECK ISSUE
When we sent the consignment reports (and your subsequent check amounts), October 16th was inadvertently not posted until after the reports were run. Therefore, any sales on that day will be on your November consignment/ sales report and in that check.

11/10/15 OUTDOOR LIGHTS
I have replaced the bulbs in the outdoor overhang to LED bulbs. So please start a new routine regarding light switches. In the morning when you turn on the lights for the gallery, turn OFF the outside lights (single switch closest to the door). At the end of the day when you turn off the gallery lights, turn ON the outside lights and leave them on overnight. (tld)

10/31/15 REGISTERING FOR ART UNCORKED CLASSES
We strongly prefer students register through our web page www.aavart.org. If the customer is not able to use PayPal we will allow them to purchase like any other item and pay directly to the gallery. Pretend you are selling a piece of artwork.... (except you MUST take their name, phone #, and an email address because we need to contact students.) Where you usually type an item #, type in C- (include the dash) then hit the enter key. You will see the list of classes. You may need to scroll down. The initials are the instructor and the number is the date of class. For example: C-NC-110715 is the Class taught by Nancy Cornett on 11-07-15. Double check the date and double click to select that class. Proceed to sell the class as any other piece of artwork. (tld & slm)

We no longer keep the cash drawer key on the same ring as the front door key. Call the gallery before you work to learn of our new system or call one of the people on the posted contact list once you get to the gallery. (nkc)
10/30/15 NEVER LEAVE A SALE ITEM ON HOLD
NEVER leave a transaction on "HOLD" there are a couple of things that trigger this
a. Cash Sales -- When you click on "Payment Type" you must click on "Cash" even though it is highlighted in red.
b. Checks -- you must fill in every field including check #, Drivers License #, State in which the Drivers license is issued, and phone #. If any of these fields are left blank it will go to HOLD. (tld)
10/30/15 HOW TO TURN ON THE COMPUTER
Do not shut down the computer at the end of the day. But if someone forgot and the computer is shut down when you come in, look under the keyboard to your right. There is a silver button ... PUSH it! That turns on the hard drive (which is what really runs the computer) Everything should load and look normal from there. (slm)
10/30/15 DEBIT CARD READER TEMPORARILY DOWN
Please be aware that the Debit Card Pin is not working so Debits must be run as credit. Artisan, our point of sales software company, updated our program. However, Payment Logistics, the tech company who actually sells the hardware (the debit/ credit card swiper) is running tests to be sure the hardware will work flawlessly with our Artisan software. We were told it would be done at the beginning of October. Every week Sandra calls and they push the date back. Better to wait than have problems running debit and credit cards:) (SLM)
